Some of these items are optional on the part of the client whose officers may wish to take a greater role in the business of the condominium.


1. Keep a set of books for the condominium (does not include formal year end statement preparation)

2. Collect the condominium fees from owners

3. Prepare draft budgets each year for the consideration of the Board

4. Purchase GIC’s and other investments as directed by the Board


5. Prepare government registrations for changes of directors

6. Submit GST returns where applicable on commercial condominiums

7. Submit WCB returns where applicable to cover workers & directors

Board Business

8. Attend all Board meetings

9. Prepare agenda and meeting package of financial statements, correspondence, etc.

10. Take the minutes of the Board meetings

11. Obtain quotes/contractors for Board approved maintenance such as lawn maintenance, snow removal, insurance coverage and emergency work

12. Write correspondence to owners on behalf of the Board

13. Keep proper files on condominium business

Owner Relations

14. Prepare caveats for registration against titles of defaulting owners

15. Prepare newsletters from submitted materials for distribution to owners and residents

16. Answer general questions from owners

17. Assess fines for bylaw infractions as determined by the Board

18. Prepare estoppel certificates for owners selling or refinancing

19. Maintain emergency contact facility for after-hours calls

Contractor Relations

20. Work with contractors on repairs and improvements approved by the Board

21. Ensure contractors are properly covered by insurance and WCB

22. Ensure work is satisfactorily completed for payment

23. Write the cheques to pay bills incurred by the condominium (some obligations such as utilities are put onto automatic debits to ensure prompt payment)
